Monthly WhatsApp click report for clients: a simple template
A monthly WhatsApp click report for clients does not need to be long. One page with a few honest numbers, a short explanation and a next step is enough to keep a client informed and calm.
What should a monthly WhatsApp click report include?
Clients rarely read ten-page reports. They want to know three things: did more people try to contact us, which parts of the site or campaign helped, and what happens next. Build the report around those questions and keep everything else out.
When the goal of the site is to get messages on WhatsApp, the number that matters most is how many people clicked the WhatsApp button. It is not a sale and it is not a conversation, but it is the last thing you can measure before the person lands in the chat. Say that clearly at the top of the report so nobody reads it as revenue.
- Total clicks in the month and the change compared with the previous month
- Unique visitors who clicked, so the client sees it is not one person clicking ten times
- The page and the button that got the most clicks
- The best day of the week and the best hour
- Phone, tablet or computer: where the clicks came from
- One or two notes in plain words and a suggestion for next month
Where do I get these numbers in WhatsClicks?
Everything on the list above lives in the Resumo tab of the WhatsClicks panel (it is called Summary in the English version). Choose the period at the top, for example the last 30 days, and filter by the client's link if you manage several.
The panel already compares the period with the previous one and shows a green arrow up or a red arrow down with the percentage. The highlights are written as sentences, such as the best hour, the best day of the week, the most clicked page and the most clicked button. You can copy those sentences almost as they are into your report.
- Open the panel and go to the Summary tab.
- Pick the period that matches the month, or the closest option available, and select the client's link in the filter.
- Write down total clicks, unique visitors and the change versus the previous period.
- Read the highlights and the By page and By button tables.
- Export the CSV if the client likes spreadsheets, or open the report for printing and save it as PDF.
Check the period buttons before you start. Make sure the range you picked really covers the month you are reporting on, so the numbers match what you tell the client.
A simple one-page template you can copy
Here is a structure that works for most small businesses. Fill each block with two or three lines and nothing more. The numbers below are made up for the example.
Block 1, the headline: "In October, the WhatsApp button was clicked 240 times, 18 percent more than in September." Block 2, the detail: "180 different visitors clicked. Most clicks came from the prices page, through the button at the top." Block 3, the pattern: "Tuesdays and Thursdays between 10 and 12 were the busiest." Block 4, the device: "Seven out of ten clicks came from phones."
- Headline: total clicks and the change
- Detail: unique visitors, top page, top button
- Pattern: best day and hour
- Device: phone, tablet or computer
- Next step: one action for next month
Always label example numbers as examples when you reuse this template in a proposal or a training document. Real reports should only contain real data from the panel.
How do I explain the numbers without overselling?
The most common mistake in client reports is turning clicks into promises. A click means a person tapped the button and was sent to WhatsApp. It does not tell you whether they wrote a message, whether the team answered quickly or whether a sale happened afterwards.
A good sentence to use is: "These are people who showed interest by opening the chat. How many became customers depends on how quickly and well the conversations are handled." This protects you, it is honest, and it nudges the client to look at their own follow-up, which is usually where the biggest gains are.
If clicks went down, say it and say why you think so. Maybe the month had fewer working days, a campaign ended, or a page was changed. Use the comparison tables and the day-by-day chart to point at the moment the change started.
How do I compare two campaigns or two buttons in the same report?
If you created one link per campaign or per page, use the compare feature to put two links side by side. This is useful for statements like "the link in the Instagram bio got fewer clicks than the link on the website, but at a similar time of day".
Marking links with a page and a button name also helps. Add ?p=/prices to say which page the button is on and &src=top to say which button it is, then read the By page and By button tables in the panel. The address generator under each link in the panel builds these for you, so you do not have to type them by hand.
How do I deliver it every month without losing hours?
Pick one day, for example the third working day of the month, and always do the report then. The panel does not send scheduled reports on its own, so put the reminder in your own calendar.
Save the PDF or CSV in a folder named after the client and the month. After a few months you will have a history you can show in renewal meetings. If the client wants to look by themselves, a separate login per client is possible, and that can replace part of the report with a quick call.
Frequently asked questions
How long should a monthly WhatsApp report be?
One page is enough. Total clicks, the change versus the previous month, the top page and button, the best day and hour, and one suggestion for next month.
Can I send the client a PDF straight from WhatsClicks?
Yes. The panel has a report you can print or save as PDF, and you can also export the data as CSV for a spreadsheet.
Does the report show how many sales came from WhatsApp?
No. WhatsClicks counts clicks on the WhatsApp button. Conversations and sales happen inside WhatsApp, so the client needs to track those on their side.
Does WhatsClicks send the report automatically?
No. There are no scheduled reports, so set a monthly reminder and pull the numbers yourself.
