What to do with WhatsApp clicks outside business hours

Your website works all day, but you do not. Many WhatsApp clicks outside business hours arrive while you sleep, so you need a plan for them: know how many there are, set expectations and answer first thing in the morning.

How many clicks arrive outside your hours?

Before you worry, measure. Open the WhatsClicks Resumo tab and look at the hourly bar chart and the weekday by hour heat map. Count roughly how many of the darker cells fall outside your opening hours.

For example, imagine a week with 120 clicks where 30 arrive at night or on Sunday. That is a quarter of the total, which is worth a plan. If it were only 3, a simple message would be enough. Your own numbers will tell you how much effort this deserves.

Use a 30-day period if you can. One week can be skewed by a holiday or an ad.

Set expectations before the chat even starts

People are more patient when they know when to expect an answer. Put your opening hours near the button, for example "We reply Monday to Friday, 9 to 6". You can also use the prepared first message. In Links, edit the link and write a starting text that fits, such as "Hi, I am writing outside your hours and will wait for your reply".

That small line changes the mood. The visitor knows nobody is ignoring them, and you receive a message that already carries the context.

If you can, add a line to your WhatsApp greeting too. Something simple such as "Thanks for writing, we reply from 9 am" is enough. Keep the tone friendly and avoid long explanations. The goal is only to avoid silence, because silence is what makes people feel ignored.

  • Show opening hours next to or under the button.
  • Use a starting message that acknowledges the time.
  • In your WhatsApp profile or automatic greeting, mention when you reply.

Make the morning routine easy

The best response to late clicks is a short morning routine. Open WhatsApp first and answer the oldest chats first. Greet them, apologize for the wait if it was long and ask the key question. Then handle new chats.

Having saved templates helps a lot. A template for "thanks for waiting, here is what I can do" saves a minute per chat, and a minute times twenty chats is a real morning saved.

Mark the chats that came during the night in your own way, for example with a star or a label if your app allows it. That way you can see in the morning which ones waited longest, and you avoid forgetting a request that arrived at 11 pm. A short written list on paper works just as well for a very small business.

  1. Open WhatsApp before email and social media.
  2. Reply to the oldest chats first.
  3. Use a short template to acknowledge the wait.
  4. Ask one clear question to move the chat forward.

Should you reply at night anyway?

It depends on your business and on your health. An emergency locksmith or a restaurant might want night replies. A consultant or a shop probably does not. Do not train customers to expect answers at midnight if you cannot keep that forever.

A middle path is a limited late window. For instance, check messages once before closing and once at a set evening hour. Use the click data to decide if that extra time is worth it.

A reply promise you cannot keep is worse than a slower, honest one.

Let the data guide your schedule

Your counter will show patterns. Maybe most late clicks arrive between 9 and 11 pm on weekdays. Maybe Sunday afternoon is your hidden peak. Use the highlights in the Resumo tab, such as best hour and best day, and the cards Hoje and Ontem to compare your last days.

If one page or one button creates most of the late clicks, tag them with &src= and &p= in the link, then see them in Por botão and Por página. You may decide that page needs a stronger note about opening hours.

Do a monthly review too. Compare the period with the previous one using the arrow at the top of the Resumo tab, and ask whether late clicks are growing. If they are, it may be time to change the schedule, share the work with another person or add a clearer note about your hours on the page.

What about links that should stop working at night?

A paused link in WhatsClicks keeps sending people to WhatsApp, but stops counting. That is not the same as closing your button. If you want to stop accepting chats, remove or hide the button on your site instead, or write clearly that you are closed.

Remember what the tool does and does not do: it counts clicks on your button. It does not tell you whether a message was sent or whether you answered. Use your own WhatsApp to follow the real chats.

Frequently asked questions

How do I know how many WhatsApp clicks come after hours?

In the Resumo tab, check the hourly bar chart and the weekday by hour heat map. Compare the dark areas with your opening hours.

Should I put my opening hours near the WhatsApp button?

Yes. It sets expectations and reduces frustration when someone clicks at night.

Can I change the first message to mention my hours?

Yes. In Links, edit the link and update the starting message. All buttons that use the link will use the new text.

Does a paused link stop visitors from reaching WhatsApp?

No. A paused link still opens WhatsApp but is not counted. To stop chats, change or hide the button on your site.
